Executive PA responsibilities include:
Booking meetings and conferences and arranging diary’s as
required. Devising and maintaining office systems, including data management and filing.
Preparing reports for monthly GEB meetings and other Board packs, Board reports / specification documents. Producing documents, briefing papers, reports and presentations.
General Secretarial: Provide a comprehensive secretarial service to the GEB Directors. Screening phone calls, enquiries and requests, and handling them when appropriate in a professionally sensitive manner.
Confidential Information: Prepare employee contracts and offer letters and other confidential and sensitive documents as required.
Administration: Arrange travel and hotel accommodation, book venues and other schedules as required.
Occasionally travelling with the Director to take notes or dictation at meetings or to provide general assistance during presentations. Organising and attending meetings and ensuring the Director is well prepared for meetings.
You will be an Executive PA with previous experience of supporting Managing Director in a fast paced environment. You will require advanced IT Skills in MS Office (Word, Excel, PowerPoint); a high attention to detail and accuracy & Exemplary levels of grammar in letter and report writing
You will have the ability to adapt communication style to different people at all levels within the business with varying personalities and seek out new assignments and acts upon them.
Excellent interpersonal skills and a High level of Emotional Intelligence are essential to the role. You will be Influential and persuasive, results orientated, be able to deal with difficult individuals effectively, calmly and professionally and always presents a positive image.
