Main Purpose of Position
To provide administration support Projects South.
To provide an efficient and effective communication channel between Company
personnel and other project stakeholders including both client and supply chain to ensure
the provision and completion of administration tasks as directed.
To co-ordinate all day-to-day operations within the site administration support service to
ensure this activity runs effectively.
Undertake general administration duties in support of all staff.
Ensuring adequate stationery and sundry equipment is available for the Calleva
Park and Youngs Yard offices.
Management and upkeep of the asset database.
Management of Director’s travel arrangements.
Support, when required to the Projects South proposals team.
Modification and formatting of the Projects South CVs ensuring they are up to date in
support of proposals.
Collation of weekly project management information for Projects South projects where
Ad Hoc administrative support to site projects.
Provide support to Cost Engineer at period end.
HR liaison with Head Office.
Submission of timesheets/expenses forms/mileage forms to Head Office in a timely
Contribute information for the compilation of progress reports, Project Status Reports and
any necessary supporting documentation as required.
Support in the completion of labour returns for project reporting purposes.
Management of the building and facilities to ensure that the fire alarm
system, access alarm, cleaning and other support contracts are up to date.
The Company operates a QSHEW system to manage quality, health and safety and the
environment. It is your responsibility to ensure all personal actions, and that all tasks and
activities are delivered in compliance with the QSHEW system but specifically:
be aware of QSHEW policies & procedures which apply to your area of work
conform to the QSHEW system
assist in operating the QSHEW system
co-operate and assist during any audit
What you will need:
- GCSE / NVQ L2 inc Maths, English & IT
- Well organised with the ability to work to timescales and demonstrate attention to detail.
- Routine recording and reporting of information both verbal and numerical
- File management and e-document production
- Competent user of MS Office
- Able to organise and prioritise own work
